Disaster Recovery Planning: 6 Steps to Protect Your Business from the Unexpected

Fires, ransomware, hardware failures — disasters happen. A solid disaster recovery plan ensures your business bounces back quickly with minimal data loss.

Why Every Business Needs a Disaster Recovery Plan

73% of companies that experience a major data loss without a recovery plan go out of business within five years. Whether it's a natural disaster, cyberattack, or simple hardware failure, the question isn't if something will go wrong — it's when.

A disaster recovery (DR) plan is your blueprint for restoring operations as quickly as possible after an unplanned event.

Understanding Key Metrics

Before building your plan, you need to define two critical metrics:

Recovery Time Objective (RTO): How quickly must systems be back online? For some businesses, this is hours; for others, it's minutes.
Recovery Point Objective (RPO): How much data can you afford to lose? An RPO of 1 hour means you need backups at least every 60 minutes.

6 Steps to Build Your Disaster Recovery Plan

Step 1: Conduct a Business Impact Analysis

Identify your most critical systems, applications, and data. Rank them by priority — which ones must come back first to keep the business running?

Step 2: Assess Your Risks

Map out potential threats: ransomware, power outages, floods, employee error, hardware failure. Understand the likelihood and potential impact of each.

Step 3: Choose Your Recovery Strategy

Cloud-based DR: Replicate your environment in the cloud for fast failover. Best for most SMBs.
On-site backup: Physical backup servers at your location. Vulnerable to local disasters.
Hybrid approach: Combine local backups for speed with cloud replication for resilience.

Step 4: Document Everything

Your DR plan should include step-by-step recovery procedures, contact lists, vendor information, and network diagrams. It should be accessible even if your primary systems are down.

Step 5: Test Regularly

A plan that hasn't been tested is a plan that won't work. Run tabletop exercises quarterly and full recovery drills at least twice a year.

Step 6: Review and Update

Your infrastructure changes constantly. Review your DR plan after any major change — new software deployments, office moves, staff changes, or security incidents.
